Philmont 2002 Committee Report
As approved by Troop Committee November, 2000, and updated as details are settled
Important information from Mike F (May)
All parents will need to sign a Talent Release form. This allows Philmont to use
photos of crews in their promotional materials that they reproduce
for Philmont. I will start bringing this from to Troop meetings.
Gear bags - Gear bags have been embroidered with crew member's
names. These bags will be issued at the Going away gear check
party. I will bring sample bag to troop meetings to show crew
members the size of bag.
Going Away and Welcome back parties- Bill O. is coordinating
these two events. These events should not be planned by the
Philmont Committee but by parents. The Philmont Committee
should be focusing all of its time on Philmont arrangements and
issues.
Rank requirement issues? Has all crew members met the First
Class requirement. If a crew member is not at least a First Class
Scout we cannot take the crew member with us.
Packing list- NOW is the time to be checking the Philmont
personal gear list in the "2002 Philmont Guidebook to Adventure"
2000 Philmont video- I have a copy of the 2000 trek video that our
crew did from Tom Porter and hope to show it at a troop meeting
before we depart for Philmont.
Transportation issues- air and ground transportation are in good shape with us using Delta and Pike's Peak, Inc. for our service providers
US Olympic Training Center- We have permission to visit and dine
with athletes on our return from Philmont
Flying: Remember no items in carry on luggage that could be used
as a weapon- no knives, etc ( must be packed in checked baggage)
Transportation to and from airport: This is the individual's crew
member responsibility. The TROOP IS NOT PROVIDING
TRANSPORTATION TO THE AIRPORT. When we return parents
should meet us at the baggage pick-up area. Parents will not be
allowed to go to the gate. Only ticketed passengers are now
allowed in the terminals.
Jan 14 Philmont Meeting Minutes
December 18, 2001 Update:
1. We will have a meeting for participants and parents in January to review equipment needs, finances, physical exam requirements, pretrek attendence policy, high adventure safety issues, Philmont trek options, and to view the Philmont video. This is an important meeting.
2. All adult members of crews must have child protection training.
Adults who completed Leaders Training have completed this requirement.

Philmont Trek Dates
Expedition numbers 615-A1 (crew 1) and 615-A2 (crew 2)
We are confirmed for trek 20 (map and itinerary)
Departure date - Friday June 14, 2002
We will meet at the Delta ticket area at 9 am in the Atlanta Airport to begin our check in process.
PARENTS: MAKE SURE THAT YOUR SCOUT/ADVISOR WEARS THEIR HIKING BOOTS TO THE AIRPORT. Any other pieces of gear that is forgotten can be purchased or rented at Philmont. But if you forget your boots you are in DEEP TROUBLE. Overnight delivery is not available at Philmont.
Bring your trash bags and duct tape to wrap your pack after they clear Airport Security. Remember you also need trash bags and duct tape to wrap your pack on the return trip also.
Delta Flight 460 departing Atlanta Airport at 11:35am, arriving in Colorado Springs at 12:30 pm (Direct flight)
Each crew member will be responsible for their own transportation to and from the Atlanta airport.
Ground transportation to Philmont - Pike's Peak Transportation (800-345-8197 - Touring bus bathroom, vcr and reclining seats, 47 passenger size). This will give us plenty of room to stretch out during our 3-4 hour drive to Philmont. We will stop in Trindad, Colorado, for fast food dinner before arriving at Philmont.
Saturday, June 15- official check in. We will then be notified of our new trek. This information will be called back to Watkinsville and put on the Troop discussion group for parents to know our new trek route.
Sunday, June 16- Start on trail
Wednesday, June 26- arrive back at basecamp
Return date - Thursday June 27, 2002
5 am- wake up, pack gear, eat breakfast
6 am - bus arrives
6:30 am - bus departs Philmont for Colorado Springs
10:30 am- Arrive at US Olympic Training Center
Tour facility and eat lunch with athletes
12:30 pm- depart for airport
Delta Flight 3732 departing Colorado Springs 3:20pm, to Dallas
Delta Flight 1264 Dallas to Atlanta, arriving 10:55 pm
Parents picking up crew members are to meet us at the Baggage claim area. Only ticketed passengers are now allowed in the gate areas.
Projected estimated cost- $1100- $1200
(includes Philmont registration, air fare, ground transportation, food in route, crew t-shirts, food for all pretrek hikes, crew gear)
Gear bags are being donated to crew members by Coca-Cola

Cancellation Policy:
Due to the cost of this event once a deposit is made the individual is then responsible for the entire payment ($1100-$1200).
If a scout/adult drops out and he can find a replacement for his slot then the replacement can pay the scout any amounts the scout
has already paid. (replacements must be approved by Philmont
Planning Committee)
If the scout/adult cannot find a replacement they are responsible for the entire payment (unless a refund can be obtained without increasing the cost to other members of the crew).
If an scout/adult drops out and is unable to get a replacement and desires to appeal this refund policy they may do so to the Troop Committee. The Troop Committe may vote to allow a person to
drop out of the group and recieve a full or partial refund, but the Troop Committee will have to fund the refund out of Troop funds and not the Philmont Trek funds.
Notice- All participates must be able to pass Philmont's health and weight requirements as stated in the Philmont health form (GIF Format) - (Word format) - (PDF format) and meet the Troop's pretrek hike requirement. Refunds are not given to individuals who do not meet these requirements.

2002 risk statement.

3. Feb 16-17, 2002, Tesnatee Gap to Unicoi Gap - 14.5 miles (M Thompson, A Floyd)
4. Mar 23-24, 2002, Unicoi Gap to Dick's Creek Gap - 16.1 miles (M Thompson)
5. Apr 20-21, 2002, Springer Mtn to Woody Gap - 21 miles (New Date - previously scheduled for Apr 27-28)(M Floyd, A Floyd, S Floyd, L Jackson*excused, A Mathew)
6. Jun 1-2, 2002, Make up for cancelled hike or Amicalola Falls
State Park to Three Forks - 12.2 miles. This trip will not take place since we did not need to make up any trips.
Once we complete our Apr 20-21 hike those individuals who
completed all of our hikes, including the November 2000 and November 2001 backpacking trips, will have earned the Georgia Appalachian
Trail Thru Hiker Award.
Scouts- participation in 60% of all pretrek hikes - minimum = 4
Adults- participation in 80% of all pretrek hikes - minimum = 5
It is highly recommended that all crew members participate in every hike.

PHILMONT 2002 PARTICIPATION AGREEMENT
This agreement is hereby made concerning the Philmont Trek for June 14, 2002 through June 26, 2002 between Troop 149 and myself as an intended participant of a Troop 149 crew. I understand that the Philmont Trek is a High Adventure Activity that requires good physical health and fitness, and that certain physical restrictions apply. I understand and agree to meet all policies and requirements for participation, including CPR and First Aid Certification and participation in the expected percent (60% for youth, 80% for adults) of the pre-trek hikes.
I also understand and agree that, due to the significant financial cost of this activity, each participant must support their share of this cost. Therefore, I understand and agree that by making the first payment and signing this agreement I fully commit to paying for the ENTIRE predetermined cost of $1100 - $1200 per person by the posted monthly payment schedule regardless of circumstances except as follows. I understand that if I cannot participate after signing the agreement but can find a replacement that is fully acceptable to the Troop 149 Philmont Committee, I will not be held responsible for the payment. I also understand that if cannot participate after signing the agreement and feel that I have special circumstances the payment policy can be appealed before the Troop Committee of Troop 149, but I also agree to comply with their decision.
